Reporting to Director of Payroll and Benefits, the Benefits Administrator will work with the Payroll team to ensure the company’s benefits and pension plan and payroll processing is completed as accurately and timely as possible.
Responsibilities
- Set up new hires in ADP payroll system each pay period, create FAST system accounts for IT access credentials, and support employee access to the SSCC web portal and other required systems.
- Maintain and update multiple payroll tracking worksheets in OneDrive to ensure changes are recorded accurately and on time.
- Support the payroll team with reviewing, correcting, and balancing payroll outputs and related reports.
- Support Payroll Director with year-end T4 reconciliation
- Assist employees with ADP registration and respond to payroll/ADP access inquiries.
- Collect, process, and maintain filing of group benefits and optional benefits enrollment; set up payroll deductions as required.
- Enroll employees in the group benefits plan through the insurance carrier’s online portal in a timely manner and track hourly employee eligibility in accordance with policy requirements.
- Track pension plan enrollment and administer RRSP deductions through the payroll system.
- Prepare and reconcile benefits-related reports, including taxable benefits and deduction reports; update year-to-date taxable benefit amounts as required.
- Prepare benefit billings and submit payment requests to the accounting team, liaising with the insurance provider to ensure payments are properly recorded and applied.
- Track and collect benefit premium payments for employees on leave of absence (LOA) and maintain ongoing communication as needed.
- Prepare required documentation and reports for external agencies and carriers, including:
- LTD employer forms
- WCB wage loss surveys, clearance letters, and claim costs reporting
- CRA and Service Canada questionnaires and employment forms
- Prepare after-pay cheque requisitions and third-party payments as required by legislation.
- Maintain employee payroll/HR records and correspondence files (physical and electronic), ensuring documentation is complete and properly filed.
- Prepare employment/payroll records for internal stakeholders and external parties (e.g., solicitors), including employment verification letters and auditing documents as required.
- Provide general administrative support, including phone coverage and other related duties as assigned.
- Duties and responsibilities may be added, deleted, or changed at any time at the discretion of management, formally or informally, either verbally or in writing
Qualifications and Education
- Certified as a Payroll Compliance Practitioner with the National Payroll Institute
- Minimum three (3) years’ payroll work experience
- Experience with ADP WFN software an asset
- Experience with maintaining group benefits plan an asset
- Experience with group RRSP/DPSP plan an asset
