Reporting to the Campus Director, the Administrative Registrar plays an integral role in supporting operational compliance and new student entry.  

Responsibilities

  • Review student files to determine which program prerequisites are still to be submitted for compliant acceptance into the program.
  • Communicate effectively with applicants to address any discrepancies or missing documentation and arrange for all missing documents to be submitted in a timely fashion.
  • Follow up with the relevant program administrator, compliance person, or the Campus Director to ensure that the submitted documentation meets the required standard, where required.
  • Follow up regarding SSC prerequisite courses, such as math, English, and biology, and prepare transcripts for student file(s) showing completion status, where required.
  • Maintain the Practical Nursing (PN) and Dental registered/waitlists and keep the prerequisites requirements updated.
  • Prepare extension forms for outstanding prerequisites for the Campus Director’s signature, where necessary.
  • Provide regular updates to the Admissions Advisor managing the application.
  • Compile all documented evidence and supporting verifications for all prerequisites and place in the student file for Campus Director’s final review and consideration for acceptance into the program.
  • Update the SSC’s database system (FAST) to reflect the updated prerequisite status.
  • Maintain the new start “At-Risk” list for outstanding prerequisites and generate and prepare reports for the Campus Director and take part in the “At-Risk” meetings. 
  • Identify opportunities for streamlining the verification process to enhance efficiency, and provide recommendations for improvements to existing prerequisite policies and procedures.
  • Duties and responsibilities may be added, deleted, or changed at any time at the discretions of management, formally or informally, either verbally or in writing

Qualifications and Education

  • Bachelor's degree in a relevant field or,
  • Equivalent work experience in the private college education sector with knowledge of best practices in post-secondary education and governance matters of compliance with experience in auditing processes
  • Supervisor experience with fiscal management preferred
