Reporting to Director of Payroll and Benefits, the Payroll & Benefits Specialist will work with the payroll team to ensure payroll processing is completed as accurately and timely as possible, at the meantime, play a backup role for managing the company’s benefits and pension plans. 

Responsibilities

  • Process bi-weekly payroll for all companies based on payroll information provided by Director, Payroll & Benefits
  • Monitor payroll inbox to ensure new hire onboarding documents remain in place appropriately
  • Monitor payroll inbox, flag, follow-up, archive in time
  • Monitor New Hire report and ensure all new hire are setup in ADP and FAST accurately and in time
  • Monitor PBC benefits master report and ensure application forms collected as per enrollment timeline
  • Monitor benefits enrollment and ensure enrollment information accurate and submitted in timely manner
  • Check new hire setup in ADP to ensure all sections are setup accurately and in good place
  • Assist employees with ADP WFN registration and practice troubleshooting when issue arouses
  • Prepare and print out payroll paperwork, compile document name for COS and ROE request forms as per filing worksheet
  • Assist Payroll Director with reviewing, correcting and balancing payroll output as per payroll processing checklist
  • Assist Payroll Director with timecards verification using ADP reports
  • Reconcile and balance COS and ROE e-forms with paperwork and ensure all forms are ready for processing
  • Process employee’s status changes and termination of employees in ADP WFN system.
  • Prepare various after-pay payroll and benefits reports on each pay date and update payroll data as per work manual
  • Prepare LOA report and extension of benefits reports each pay date
  • Prepare off-cycle payroll payments, calculating statutory deductions, and updating employee records in payroll system
  • Prepare after-pay cheque requisitions for payments to third parties (e.g. union dues, RRSP source deductions and garnishee orders)
  • Setup taxable benefits in ADP and update year-to-date taxable amount for LOA employees
  • Tracking RRSP/DPSP registration and responsible for setup ADP payroll deductions; maintain deduction authorization form and report in place
  • Review and prepare quarterly T10 tax slips if needed
  • Update EI adjustments through Year-to-date payroll processing
  • Update benefits status in PBC portal as per comments on COS and ROE forms
  • Assist Payroll Director with reconciliation and verification of employee time off accruals and provide information to stakeholders as regards to time off entitlement and utilizations
  • Run ADP GL reports each pay period • Assist with preparing various payroll and benefits reports for stakeholders
  • Prepare electronic Record of Employment (ROE) in ADP or ROE web if needed
  • Prepare employment verification letter as per inquiries when work hours information is needed
  • Monitor IT setup and IT cancellation spreadsheets and ensure all IT accesses processed in time
  • Review reconciliation of Hourly Benefits Eligibility report and advise changes
  • Investigate Unused Deduction report and take appropriate action as per benefits policies
  • Reconcile benefits enrollment using taxable benefits reports and benefits billings when needed
  • Monitor Supporting Documents that uploaded in ADP WFN employee profile
  • Monitor filing of employees’ payroll and HR files both physically and electronically as per filing work-manual
  • Maintain ADP WFN homepage as well as Payroll Section on the corporate’s SharePoint domain ensure payroll policy and documents updated in time
  • Assist Payroll Director with audit preparation
  • Assist Payroll Director with year end reporting and T4 reconciliation.
  • Prepare employment and payroll records for solicitors and collect payroll services fees • Assist with telephones and other miscellaneous office duties
  • Duties and responsibilities may be added, deleted, or changed at any time at the discretion of management, formally or informally, either verbally or in writing 

Qualifications and Education

  • Certified as a Payroll Compliance Practitioner with the National Payroll Institute
  • Minimum three years’ payroll work experience
  • Experience with ADP WFN software an asset
  • Experience with maintaining group benefits plan an asset
  • Excellent English language skills, both written and speaking
  • Advanced Excel skill an asset
